Trust & security

Behind every customer conversation, there should be care, clarity, and accountability.

HelloClixo works close to customer operations, client systems, applications, communication tools, and automation workflows. That means access and data handling should be deliberate, proportionate, and backed by people who stay accountable for the work.

Talk to us

Operational trust starts with scope, permissions, context, and review.

Trust principles

Four principles guide how we handle operational work.

Trust is not a single feature. It is the way access, data, automation, and responsibility are handled throughout a workflow.

01

Scoped access

Access should match the agreed task and stay limited to the systems, records, and actions needed for that work.

02

Human accountability

People remain responsible for judgment, escalation, sensitive communication, and decisions that need business context.

03

Responsible automation

Automation is used to assist defined workflows, reduce repetitive handling, and support consistency without hiding important decisions.

04

Clear data handling

Data collection should be connected to a visible purpose, whether that is a quote request, appointment, application, or interview workflow.

Access

How we think about access

Customer operations often require working inside tools that belong to the client: helpdesks, stores, communication platforms, order systems, documents, or automation rules. HelloClixo treats access as an operational scope decision, not a default entitlement.

01

Limited to the agreed work

The useful starting point is simple: identify what must be handled, which systems are needed, and which actions are appropriate for the service being delivered.

02

Client-controlled systems

Clients should retain ownership of their tools and decide which accounts, permissions, workflows, and approvals are appropriate for the engagement.

03

Defined responsibilities

Support, back-office tasks, store administration, automation, and AI-assisted workflows should each have clear boundaries so teams know when to act, ask, or escalate.

Data handling

Data handling follows the workflow

The current public site collects information only through specific workflows. Different workflows involve different types of data, so the page is careful not to describe them as if they were all the same.

01

Quote requests

Quote requests collect structured business, contact, service, volume, language, and operational context so HelloClixo can understand the requested scope.

02

Appointment requests

Appointment booking collects contact details, scheduling preferences, and operational context, then supports review and calendar coordination.

03

Recruitment applications

Published role applications collect role-specific candidate information and may include CV files. The current implementation stores CV files privately and exposes them only through authenticated recruitment review paths.

04

Interview workflows

Recruitment interview workflows can process interview answers and transcription data. The current documented implementation does not retain raw interview audio after transcription.

05

Verification tokens

Cloudflare Turnstile tokens are used for bot verification. They are not treated as business-content data in quote, appointment, or application records.

Human + AI

Automation assists the workflow. People remain responsible.

HelloClixo's approach is to use automation and AI where they help operations become more consistent, faster, or easier to review. The goal is not to make judgment disappear.

01

Human review matters

Recruitment decisions remain human-led. AI-assisted interview or support workflows should not silently replace business judgment.

02

Bounded workflow use

AI and automation are most useful when they operate inside a defined workflow: transcription, routing, summarization, follow-up assistance, or repetitive operational steps.

03

Escalation stays visible

Sensitive cases, exceptions, unusual customer situations, and unclear candidate signals should move to people rather than being forced through automation.

Safeguards

Operational safeguards built into current workflows

The current implementation combines validation, verification, controlled access, and private handling for the workflows that collect public-site data.

01

Server-side validation

Public submissions are validated server-side before they are accepted by the backend workflows.

02

Bot protection

Quote, appointment, and recruitment application submissions use server-side Cloudflare Turnstile verification.

03

Rate-limited endpoints

Public write paths and recruitment interview endpoints are protected by Laravel rate limiters configured for their specific workflow.

04

Private recruitment files

CV files are stored on a private disk path and are downloaded through authenticated recruitment admin routes.

05

Controlled interview sessions

Candidate interview access uses interview-scoped session handling so a session for one interview cannot be reused for another.

06

Authenticated private areas

Protected recruitment and admin areas require authentication and role checks before sensitive records or files can be accessed.

Providers

Third-party services are used for specific jobs

Some workflows involve specialist providers. Which provider is involved depends on the workflow: a quote request, appointment, job application, and AI-assisted interview do not use the same processing path.

01

Cloudflare Turnstile

Used to verify that public form submissions are not automated abuse before backend workflows continue.

02

Google Calendar and Google Meet

Used in appointment workflows for availability checks, calendar coordination, and meeting creation where applicable.

03

Email infrastructure

Used to send operational notifications and confirmations connected to public-site workflows.

04

OpenAI and Gemini

Used only in relevant AI-assisted recruitment or automation workflows, such as transcription, speech, follow-up support, or live interview assistance.

Customer control

Clients should stay in control of scope and permissions

Trust also depends on how an engagement is shaped before work starts. HelloClixo's services are intended to operate inside the scope, systems, and rules that clients approve.

01

Systems and accounts

Clients decide which tools HelloClixo receives access to and can adjust permissions as the scope changes.

02

Workflow rules

Actions such as refunds, account changes, escalations, automation triggers, and customer messaging should follow agreed operating rules.

03

Automation boundaries

Automation should be introduced around defined use cases, reviewed outputs, and clear escalation paths rather than open-ended authority.
