AI Chatbot Solutions

Give customers useful AI assistance while keeping actions, data access and exceptions under control.

HelloClixo can configure AI chatbots for selected customer-service, pre-sales and post-purchase conversations. Clients choose the capabilities, languages, channels, knowledge sources and approved actions they need, while requests outside the defined scope can be escalated to human support.

Selected capabilities. Selected channels and languages. Controlled actions. Human escalation.

Choose what the chatbot handles

Configure the assistant around the customer questions your business wants it to support.

An AI Chatbot Solutions package does not automatically include every capability. The chatbot can be scoped around one customer journey or several types of conversations depending on the client’s requirements.

  • Common customer questions
  • Pre-sales questions
  • Product information
  • Service information
  • Order-status assistance
  • Shipping and tracking assistance
  • Returns and refund guidance
  • Exchange guidance
  • Complaint intake
  • Post-purchase questions
  • Lead qualification
  • Customer-information collection

The final customer-facing scope is agreed with the client before the chatbot is configured.

Assist the support workflow

Use AI for selected support tasks around the conversation, not just the customer-facing answer.

When included in the agreed setup, AI can assist the operational work around a customer request and help prepare or route the case for the support team.

  • Ticket creation
  • Ticket categorization
  • Conversation summaries
  • Suggested replies
  • Urgency detection
  • Priority detection
  • Request routing
  • Escalation to human support

These functions are optional. The client chooses which support workflows and decision boundaries are included.

Use approved business information

Build the chatbot around the information, voice and boundaries the client approves.

The chatbot can use approved company information as context for customer conversations. The client controls which sources are available and how the assistant should communicate and escalate.

Approved knowledge sources can include

  • FAQs
  • Help-center content
  • Company policies
  • Return and refund policies
  • Product information
  • Service information
  • Approved internal documentation
  • Approved operational instructions

Client-controlled configuration can include

  • Brand voice
  • Tone
  • Permitted answer scope
  • Escalation rules
  • Supported workflows
  • Approved actions and tools
  • Selected channels
  • Selected languages

The chatbot should operate within the approved information and configuration. Questions outside that scope can be routed for human support rather than assuming an answer.

Use permitted information when the workflow requires it

Retrieve approved customer or order context when the required integration is available.

A chatbot can provide more specific assistance when it is connected to the client’s systems through approved integrations and permissions. Access is limited to the information and actions required by the agreed workflow.

Order and tracking assistance

  1. A customer asks about an order, shipment or tracking status
  2. The chatbot uses an approved retrieval action when that integration is available
  3. Permitted order or shipping information is returned to the conversation
  4. Missing information, exceptions or requests outside the allowed scope can be escalated to human support

Lead or support request

  1. The chatbot asks the approved questions required by the workflow
  2. Relevant customer information is collected
  3. A ticket, category or routing action can be created through an approved tool when configured
  4. The request can continue to the appropriate human team when further judgment is needed

AI with defined permissions

Allow only the actions the client has explicitly approved.

A chatbot may use selected tools to retrieve information or start a support workflow, but those capabilities are defined in advance and limited to the permissions required for the agreed use case.

Approved actions may include

The chatbot does not receive unrestricted access to databases or business systems. Each available action depends on the client’s integration, permissions and approved workflow.

  • Retrieving order status
  • Retrieving shipping or tracking information
  • Collecting customer information
  • Creating a support ticket
  • Categorizing a request
  • Routing a request
  • Escalating a case
  • Starting an agreed support workflow

Keep judgment with people where it matters

Guide routine requests and route exceptions to the right person.

AI can help with structured post-purchase questions and complaint intake, but policy exceptions, sensitive situations and decisions outside the approved scope remain suitable for human support.

Returns, exchanges and refunds

The chatbot can explain approved information, collect request details and initiate or route an agreed return, exchange or refund workflow. It does not independently approve refunds or policy exceptions.

Complaints and sensitive cases

The chatbot can collect context, categorize the request and route it to a person when the situation requires human handling.

Human escalation

Ambiguous questions, unusual situations, requests outside the approved knowledge base, restricted actions and cases requiring judgment can be escalated instead of being handled autonomously.

Choose where the AI support is available

Configure the chatbot or AI assistance for the channels included in the client scope.

Channel coverage depends on the client’s communication setup, available integrations and the environments where AI assistance is required.

  • Website live chat
  • WhatsApp
  • Instagram
  • Facebook Messenger
  • Email support assistance
  • Other compatible messaging environments where the required integration is available

Not every channel is included in every deployment. Email support assistance may cover functions such as summaries, classification, suggested replies, routing and other approved email workflows rather than functioning as a live chat.

Multilingual AI support

Choose the languages required for the customer experience.

A chatbot scope can include one or several of HelloClixo’s supported service languages. Language coverage is selected with the client according to the customers and workflows the chatbot is expected to support.

  • German
  • Dutch
  • English
  • Danish
  • Swedish
  • Norwegian
  • French
  • Spanish
  • Portuguese
  • Italian
  • Russian
  • Hungarian

Defined around the chatbot configuration

The package and price depend on the capabilities, channels and integrations selected.

A chatbot answering approved FAQs on one channel is a different implementation from a multilingual assistant that retrieves order information, uses several approved actions and operates across multiple messaging environments.

The final AI Chatbot Solutions package and price are defined after the required capabilities, integrations and operating boundaries have been reviewed.

  • Selected chatbot capabilities
  • Number of languages
  • Selected channels
  • Knowledge-base size and complexity
  • Integrations required
  • Customer or order data requirements
  • Approved actions and tools
  • Workflow complexity
  • Escalation requirements
  • Expected usage
  • Implementation requirements
  • Ongoing maintenance or support when agreed

Define what you want the chatbot to answer, access and escalate.

Tell us which customer questions you want to cover, the channels and languages you need, the information the chatbot may use and the actions it should be allowed to perform. We can use that scope to define the chatbot configuration and package.
