Peak Season Support

Add support capacity when your busiest periods put pressure on the team.

HelloClixo provides temporary multilingual reinforcement for customer support, store administration and e-commerce back-office work. We can prepare coverage before a known peak or reinforce your operations when your team is already dealing with more work than usual.

Temporary reinforcement. Customer support + operations. Twelve service languages.

When extra capacity is useful

Prepare for expected peaks and respond to unexpected overload.

Peak periods do not all look the same. Some can be planned months ahead, while others appear when order volume, customer requests or internal workload rise unexpectedly. HelloClixo can provide temporary reinforcement around the work that needs additional capacity.

  • Black Friday and Cyber Monday
  • Christmas and holiday periods
  • Sales and promotions
  • Product launches
  • Unusually high order volume
  • Returns and refund surges
  • Temporary staff shortages or absences
  • Temporary overload caused by business growth

Customer support + operations

Add capacity to customer-facing work and the operations behind it.

Peak Season Support can cover defined customer-support, store-administration and back-office responsibilities. The scope can focus on one area or combine several connected workflows.

Areas we can reinforce

  • Customer conversations
  • Order and delivery questions
  • Returns, exchanges and refund communication
  • Store and Shopify administration
  • Order and back-office processing
  • Shipping and carrier follow-up
  • Returns and refund operations
  • Helpdesk and CRM administration

Examples of systems we can work with

  • Shopify
  • Zendesk
  • Gorgias
  • Intercom
  • Gmail / Google Workspace
  • Microsoft 365 / Outlook

The systems, access and responsibilities used for each engagement depend on the client’s existing setup and the agreed temporary support scope.

Planned or reactive reinforcement

Add capacity before the pressure starts or when it is already there.

Peak Season Support can be arranged before a known campaign or busy period. It can also be scoped when a business is already experiencing temporary overload. The work, start date and coverage depend on the situation, access requirements and available capacity.

Plan before a known peak

  1. Define the dates or busy period
  2. Review expected workload and priorities
  3. Agree the languages, channels and responsibilities
  4. Prepare access, workflows and escalation rules

Reinforce an existing overload

  1. Identify the queues or operations under pressure
  2. Define the highest-priority temporary scope
  3. Confirm the systems, access and working arrangements
  4. Reinforce the agreed tasks for the defined period

Alongside your existing team

Reinforce the team without replacing the way it already works.

Temporary support is most useful when responsibilities are clear. HelloClixo can work alongside an internal team, handle defined overflow and take on selected operational tasks while the client keeps control of its policies, priorities and escalation rules.

Overflow support

Defined customer queues or recurring requests can be assigned to HelloClixo while the internal team continues handling its own priority work.

Operational reinforcement

Selected store and back-office tasks can be included when customer support depends on order, shipping, return or refund follow-up.

Clear escalation

Questions outside the agreed scope or situations requiring client judgment can be returned to the appropriate internal contact.

Multilingual peak support

Add temporary support across twelve service languages.

Peak Season Support can cover customer-facing and related operational work in the following service languages.

  • German
  • Dutch
  • English
  • Danish
  • Swedish
  • Norwegian
  • French
  • Spanish
  • Portuguese
  • Italian
  • Russian
  • Hungarian

Temporary support scope

Define the reinforcement around the period and workload that need coverage.

Each Peak Season Support engagement can be defined around the expected or current workload, dates, languages, support channels, working hours, systems, priority queues and operational responsibilities involved.

HelloClixo does not promise one fixed staffing level, activation time or support schedule for every engagement. Capacity and coverage are defined according to the agreed temporary scope. Extended or specific coverage hours can be discussed where required.

  • Dates and busy period
  • Expected or current workload
  • Languages
  • Support channels
  • Coverage hours
  • Existing systems
  • Priority queues
  • Operational responsibilities

Peak Season Support FAQ

Questions about temporary support capacity.

01Is Peak Season Support only for Black Friday or Christmas?
No. Temporary reinforcement can also be used for promotions, product launches, periods of unusually high order volume, returns and refund surges, temporary staffing gaps or other defined periods when additional capacity is needed.
02Can we arrange support before a busy period starts?
Yes. Peak Season Support can be planned around known campaign dates or expected busy periods. The scope can define the work, languages, systems, coverage hours and escalation rules before the period begins.
03Can HelloClixo help if we are already overloaded?
Reactive reinforcement can be discussed when a business is already dealing with temporary overload. The scope and possible start date depend on the work, systems, languages, access requirements and available capacity. HelloClixo does not promise one universal activation time.

Yes. HelloClixo can work within existing client systems when the required access and workflows are included in the agreed scope. Examples can include Shopify, Zendesk, Gorgias, Intercom, Google Workspace and Microsoft 365.
07Does Peak Season Support include 24/7 coverage?
Coverage hours are defined according to each engagement. Extended or specific coverage can be discussed when required, but HelloClixo does not make a general 24/7 promise for Peak Season Support.
